HP Printer Offline on Windows 11: Step-by-Step Fix

The short answer

An HP printer offline message in Windows 11 usually means Windows cannot confidently send jobs to the printer. Check power and Wi-Fi first, then default printer, queue, spooler, and reinstall steps before buying cables or replacing the printer.

Before changing a queue: Cancelling removes pending print jobs, so save the document and cancel only work you may resend. Removing a printer can lose queue settings; a macOS printing-system reset removes queues and presets.

  • Confirm the printer itself is connected to the network.
  • Check whether other devices can print.
  • Try a USB cable only as a diagnostic fallback.

What could be causing it?

Printer and PC on different networks
Guest Wi-Fi, extenders, or VPNs can separate devices.

Updates or router changes can break the existing printer entry.

Find out which side stopped talking

“Offline” describes Windows’ connection to the printer. It does not mean the cartridge is empty or the printer has reached the end of its life.

Start by waking the printer and reading its display. If it can produce a local report or print from another device, you can concentrate on the Windows connection.

Work through these checks

  1. Connect the computer and printer to the same authorized local network. A guest network may keep devices apart.
  2. In Windows 11, open Settings → Bluetooth & devices → Printers & scanners and select the intended printer. Check for an old duplicate queue.
  3. Open its queue. Resume a paused job or cancel a failed job only if you can resend it; cancellation removes that pending job.
  4. Try one small document. If Windows still reports offline, run the printer troubleshooter in Get Help.
  5. If the supported troubleshooting path requires re-adding the printer, record the existing queue and settings first. Use HP’s exact-model page for any required software.

What the result tells you

If another device prints, a new toner cartridge will not repair the Windows queue. If no device prints, return to the printer’s display and network status.

On a shared or managed printer, ask the person responsible for the queue before restarting services or changing its configuration.

Worth avoiding

  • Do not replace ink or toner for an offline status.
  • Do not download drivers from unofficial mirror sites.
